Senior Account Clerk

Definition

Under general supervision, to perform responsible and complex clerical accounting work involved with maintaining and reviewing financial records; reconcile financial reports; performs a variety of complex support tasks; uses independent judgement; performs related work as required.

Distinguishing Characteristics

This is the senior level class for the Account Clerk series. Positions allocated to this advanced level perform the full range of duties of the of the Account Clerk series. A Senior Account Clerk is expected to perform assigned duties with only occasional instruction or assistance, and work is normally reviewed only when completed. The scope and complexity of assignments at the Senior Account Clerk level are of a wide variety and incumbents may have independent responsibility for a comprehensive administrative function such as Payroll or Accounts Payable.

Typical Duties

Prepare and process bills, checks and invoices; prepare City payroll; receive monies in payment of bills, fines, bonds and fees; prepare, reconcile and maintain financial or statistical records requiring departmental knowledge and independent judgment including preparation and maintenance of spreadsheets; prepare cash deposits; may perform cash flow and cash investment duties; process various financial and statistical reports, letters, and memorandum; post a wide assortment of information to records; balance a variety of municipal accounts; prepare journal entries; prepare and disseminate information to various public inquiries regarding fees, bonds, fines and licenses; perform general clerical duties as required; may train lower level Account Clerks; operate office equipment including adding machines, calculators and personal computers; operate computerized accounting system in the routine completion of record keeping work; perform other related tasks as required.

Tools and Equipment Used

Personal computer including word processing and spreadsheet software, computerized accounting system, 10-key calculator, telephone, typewriter, copy machine, and fax machine.

Physical Demands

While performing the duties of this job, the employee is frequently required to sit and talk and hear.

The employee is occasionally required to walk; use hands to operate, finger, handle, or feel objects, tools, or controls; and reach with hands and arms.

The employee must frequently lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Work Environment

The noise level in the work environment is moderately quiet.

Desired Qualifications

Knowledge of

Basic methods, practices and terminology used in municipal fiscal accounting and financial record keeping work; English usage, spelling, grammar and punctuation; modern office equipment including word processing equipment; in-depth knowledge of policies and procedures related to specific areas where assigned is necessary.

Ability to

Perform difficult and responsible accounting and support work; type accurately at a minimum speed of 40 words per minute; operate a ten key machine by touch; calculating, duplicating and automated accounting equipment; use independent judgment in carrying out instructions concerning maintenance of financial records; maintain difficult records, analyze data, and prepare accurate reports; follow oral and written directions; establish and maintain cooperative working relationships.

Experience

Four years of increasingly responsible accounting experience involving financial record keeping duties similar to those assigned to the Account Clerk class in the City of Chico involving frequent public contact.

Education

High school graduation or equivalent supplemented by specific accounting training and specialized training in the use of automated accounting equipment. An Associate’s Degree, or equivalent college level accounting coursework may be substituted for two years of the required experience.

Additional Requirements

Possession of a valid California Driver License.
