Mail Clerk

Definition

Under supervision, to perform a variety of routine and repetitive clerical tasks; to distribute and collect mail; assist staff in the performance of a wide variety of office work; to provide customer service through public contact over the telephone and public counter; to perform related work as required.

Typical Duties

Assist in receptionist duties of a general nature; operate office equipment; collect, distribute and process office mail; perform messenger work including daily trips to the Post Office; enter routine information into computer programs and databases; sort and file various City documents and records; weigh, bag and prepare parking meter coinage for transport; represent the City to public callers and visitors in a professional and effective manner over the telephone and at a public counter; perform related duties as necessary.

Tools and Equipment Used

Scales; postage machine; folding and sorting machine; 10-key calculator; multi-line phone; personal computer including word processing and spreadsheet software; copy and fax machines.

Physical Demands

While performing the duties of this job, the employee is constantly required to use hands to finger, handle, or operate objects, tools, or controls; and reach with hands and arms. The employee is required to walk extensively, sit, stand, talk and hear.

The employee must frequently lift and move and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Work Environment

The noise level of the work environment is usually moderate quiet.

Desired Qualifications

Knowledge of

Modern office practices; standard office equipment operation; correct English usage, spelling and punctuation; standard telephone and public counter conduct and practices.

Ability to

Perform clerical work; understand and carry out oral and written instructions; make basic mathematical calculations correctly; operate photocopying equipment and postage machine; handle multiple projects simultaneously; work with numerous interruptions; adjust to changing priorities; establish and maintain cooperative working relationships; use good judgment and make sound decisions in accordance with established procedures and policies; provide exceptional customer service.

Experience

One year of responsible experience performing a variety of clerical, public contact, customer service and mail room related work, preferably in a public agency.

Education

High School graduation or equivalent.

Additional Requirements

Possession of a valid California Driver License.
