Office Assistant III
Definition
Under general supervision, to type a broad range of materials and to perform varied clerical duties of a general nature; to perform related work as required.
Distinguishing Characteristics
This is the advanced journey level of the Office Assistant series. This classification is distinguished from the Office Assistant II classification in that incumbents are required to have more advanced clerical skills, and two years of relevant clerical experience, and be able to independently handle most routine general public inquiries and organize and set priorities for assigned work.
Typical Duties
Perform a variety of complex clerical duties in a general office setting; serve as a public counter receptionist as required; type letters, reports and memoranda in clear and concise form; prepare simple statistical reports; install, review, maintain and update established filing systems; may schedule and make travel arrangements and arrange meeting appointments; answer telephones; operate personal computers and a variety of standard office equipment; file various reports and City documents; may distribute and collect mail as required; perform related duties as assigned.
Tools and Equipment Used
Scales; motor vehicle; postage machine; folding and sorting machine; 10-key calculator; phone; computer terminal; copy and fax machines.
Physical Demands
While performing the duties of this job, the employee is frequently required to sit and talk and hear. The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. The employee is required to drive, walk, sit, stand, talk, and hear.
The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, color perception; and the ability to adjust focus.
Work Environment
The noise level in the work environment is usually moderately noisy.
Desired Qualifications
Knowledge of
Correct English usage, spelling, grammar and punctuation; modern office methods and procedures including business correspondence.
Ability to
Perform complex clerical work; understand and carry out oral and written instructions; type accurately at a minimum speed of 45 words per minute; operate standard office equipment including word processing; understand and work within public agency structure; understand and carry out oral and written instructions; establish and maintain cooperative working relationships.
Experience
Two years of responsible clerical experience.
Education
High school graduation or equivalent supplemented by specialized clerical or business office training.
Additional Requirements
Possession of a valid California Driver License.
